    How many customers does Data System serve?

    The company has tens of thousands of vehicles in its database, belonging to around two thousand customers. We are the largest provider of e-Toll services in Poland.

    Is Data System the manufacturer of the solutions it offers?

    Data System is both the manufacturer and the distributor of the systems on offer, from the GPS trackers fitted in vehicles, through our own server infrastructure located in a certified data centre, to the dedicated DSLocate mapping application accessible from any web browser on smartphones or tablets.

    Where does Data System store archived data?

    All data is stored in the certified, secure data centre operated by Beyond in Poznań. The data centre is equipped with several power sources and internet links from a number of different providers.

    Does the DSLocate vehicle tracking system app work on mobile devices?

    Data System has a dedicated mobile application for tablets and smartphones called DSLocate. The app runs on Android and iOS and can be downloaded free of charge from the App Store and Google Play. The mobile app offers exactly the same features and reports as the desktop version of DSLocate.

    Does Data System provide training on the features and use of the DSLocate vehicle tracking app?

    When does a new customer receive their login and password for the DSLocate app?

    When customers buy e-Toll GPS trackers from our website, they activate their account in the DSLocate application themselves and assign the purchased trackers to it. The procedure is described here. For customers buying advanced trackers through our Sales Department, the login and password for the extended DSLocate application are provided by our Technical Department staff once a cooperation agreement has been signed.

    Can the GPS tracking system be integrated with the customer's other software?

    For integration with external IT systems, Data System offers a dedicated API that allows the system to be integrated with the customer's IT solutions. In this way, for example, the customer's HR system can receive up-to-date information on the distances covered by specific vehicles or drivers, while an internal CRM can verify the dates and locations of customer visits made by sales representatives.

    What is e-TOLL?

    The e-TOLL system is a modern solution built, deployed, maintained and supervised by the Head of the Polish National Revenue Administration to collect tolls for travel on toll road sections in Poland managed by the General Directorate for National Roads and Motorways. The system is based on user position determination using satellite positioning with virtual gantries. Every user of a vehicle with a permissible gross weight above

    When do the changes come into force?

    The e-TOLL system was launched on 1 June 2021 and ran in parallel with the previous viaToll system until 30 September 2021. e-TOLL currently applies to vehicles over 3.5 tonnes, vehicles with a trailer, vans and passenger cars; it is worth noting, however, that our e-Toll GPS trackers are properly configured and allow e-Toll payments to be made in any type of vehicle, including passenger cars and vans.

    How does it work?

    Once the GPS e-Toll tracker has been installed in the vehicle, you must register your company and the vehicle in the government e-TOLL system (www.etoll.gov.pl) using the BiznesID supplied in the box with the tracker. The packaging also contains detailed registration instructions for the e-TOLL system in both Polish and English. You then need to top up your e-TOLL account with at least 120 zł (around 30 EUR) and you are ready to set off.     What do I need to purchase in order to use e-TOLL?

    Why can't I just buy an ordinary GPS tracker, for example from online auction sites?

    The Polish National Revenue Administration, which is responsible for the e-TOLL system, requires that data transmission be uninterrupted and continuous. For this reason, companies providing vehicle tracking services have to go through a long and demanding certification process in order to be integrated with the e-TOLL system. Certification covers not just the GPS tracker itself, but also the entire network infrastructure, including the tracking application, servers and the data transmission frequency.     The cost of the tracking service consists of: the purchase price for outright ownership of the certified GPS tracker, plus the cost of the subscription (various subscription prices are available, depending on the period for which they run, e.g. 1, 2 or 3 years, although in the case of promotions the choice of subscription may be limited).     How long do I have to sign the contract for?

    When buying trackers offered by Data System on our website, there is no need to sign any contract. During the purchase, you only need to provide your billing details and an email address, as well as choosing the subscription period, i.e. how long the GPS tracker is to send data to the e-Toll system (the options are 1 year, 2 years or even 3 years; with promotional offers some periods may be unavailable). The purchase can also be made by a private individual.

    Do I need to buy a new device once the subscription period ends?

    Of course, there is no such requirement. Around three months before the end of the subscription period, we will contact you to offer renewal for a further term. You can also visit our website and renew the subscription yourself by paying with a Visa or MasterCard. If you decide not to renew the subscription, the service will expire and the tracker will stop transmitting. There is no need to return the device or remove it, as you are the owner of the tracker.

    What will the subscription cost after one, two or three years?

    The cost of the subscription will be the same as the one currently on offer. As at present, three subscription periods will be available: one-year, two-year and three-year. Please note that with selected promotional offers some periods may be unavailable. The subscription can always be renewed by contacting us by email at: biuro@datasystem.pl, and it will also be possible to purchase the subscription within the DSLocate app.

    I have several cars - do I need to buy a separate service for each one?

    Not necessarily. Our trackers, offered in the shop on our website, can easily be moved between vehicles. This is particularly straightforward in the case of a tracker plugged into the cigarette lighter socket. You should bear in mind, however, that when the tracker is used to settle journeys on toll roads in the e-Toll system, before moving the tracker between vehicles you must remove the BiznesID assigned to the vehicle in the e-Toll system on the website www.etoll.gov.pl, and th

    What happens if the device fails or loses signal?

    If the e-Toll GPS tracker stops transmitting data to the e-TOLL system for longer than 15 minutes, the driver is required to stop at the nearest car park or leave the toll road. Failure to comply with this instruction may result in a penalty.     What e-Toll notifications are available in the DSLocate app?

    What do the LEDs on the cigarette lighter socket mean (DS/ZAP GPS tracker)?

    For the tracker plugged into the vehicle's cigarette lighter socket (DS/ZAP), once the device is inserted into the socket a red LED will light up several times, indicating that the device is receiving power. The red LED means the device is searching for a mobile network signal and a GPS satellite signal. Once the mobile network and GPS signals are found, the LED will start flashing green.     I have installed the trackers according to the instructions — should I contact the technical department?

    You can verify whether the trackers have been installed correctly yourself, based on the flashing LEDs on the device housing. Please read the manual for the specific tracker carefully.     Which GSM operators do Data System GPS trackers work with?

    The trackers we offer can work with any mobile operator. However, the dedicated services Data System uses, which are enabled on the operator's side (e.g. separating location data from the public internet) and which guarantee a high level of security for the transmitted data, mean that we currently work exclusively with Orange as our mobile network operator.

    Does Data System offer SMS alarm notifications?

    Data System offers SMS notification features for specific events occurring in the vehicle, for example a loss of main power supply or a vehicle exceeding the speed limit. If the customer chooses this option, they bear the cost of sending the SMS in accordance with the rate set out in the price list. It is also possible to send free notifications to the DS Locate mobile app.

    Does the DSLocate app work on mobile devices?

    Data System has a dedicated mobile app for tablets and smartphones called DS Locate. The app runs on Android and iOS and can be downloaded free of charge from the App Store and Google Play. The mobile app offers exactly the same features and reports as the DS Locate application designed for desktop computers.

    Does Data System provide training on the app's features and how to use it?

    Initial training on the app's features is delivered by your dedicated sales representative, on a date agreed between the customer and the sales rep. However, the training is arranged no earlier than after the contract has been signed and installations have been carried out on at least 10% of the vehicles. If needed, a system demonstration can also take place before the contract is signed — at the trial stage.

    Can I use the vehicle tracking service offered by Data System with my own tracking devices supplied by another vendor?

    Data System only provides services using the trackers it sells. If a customer has devices from another supplier, Data System cannot provide the service.

    What types of fuel sensors does Data System offer?

    We currently use capacitive fuel probes. These probes have their own power supply and transmit data via Bluetooth technology. They offer high measurement accuracy and a relatively low failure rate. The probes do not require any cables to be routed to them, which shortens installation time and significantly reduces the risk of tampering.

    Can Data System prepare a bespoke solution tailored to a customer's individual needs?

    In addition to selling off-the-shelf solutions, Data System can prepare bespoke solutions tailored to a customer's individual needs. Every decision of this kind is taken at Data System's head office on the basis of a financial analysis.

    Does Data System hold certifications for the devices it offers?

    The devices hold the certifications required by European law.

    Can private SIM cards be used in Data System GPS trackers?

    SIM cards are always supplied by Data System. All SIM cards installed by Data System in our GPS trackers have the Private APN service enabled, which means that data transmitted from the trackers is isolated from the public internet. This significantly increases the security of data transmission and sets Data System apart from other providers of this type of service.

    Can the system integrate with the customer's other software?

    For integration with external IT systems, Data System offers a dedicated API that allows the system to be integrated with the customer's IT solutions. In this way, for example, the customer's HR system can receive up-to-date information on the distances covered by specific vehicles or drivers, while an internal CRM can verify the dates and locations of customer visits made by sales representatives.

    Which maps does Data System use?

    Data System relies on accurate maps from the Polish provider eMapa, which come with a wide range of data. Map updates are carried out at least twice a year (more frequently when important new roads appear). eMapa offers a precise representation of roads in Poland along with information on, among other things, the load capacity of individual roads, the height of bridges over roads, tunnel heights, etc. As a result, our DSLocate application is able to calculate optimal routes for various types

    When does a new customer receive their login and password for the DSLocate app?

    When devices are purchased through our website, customers receive their login credentials once the order has been paid. For orders placed on public holidays, credentials are issued on the next working day following the day the order was submitted. Customers entering into subscription contracts receive their login and password after the contract has been signed, but before the first installation of the GPS trackers.

    For what period is a contract with Data System signed?

    As standard, Data System enters into subscription contracts for periods of 24, 36 or 48 months. The longer the contract, the better the financial terms the customer can obtain on equipment purchases and monthly fees.

    Is a discount available on contracts signed for more than 10 vehicles?

    Data System is open to price negotiations, which depend on the length of the contract and the number of vehicles it covers.

    If a vehicle is scrapped, stolen or otherwise lost, will Data System terminate the fixed-term contract?

    In such cases, Data System takes an individual approach to each issue. If a vehicle is stolen together with a device the customer has on rental, the customer is required to pay the value of the transmitter as listed in the price list. If the customer purchased the device and it has been stolen or damaged to the point where the service can no longer be used, the customer must purchase a new device. A customer who purchased a device through the website in the event of its damage or theft

    Is it possible to connect the GPS tracker yourself without voiding the warranty and without paying installation costs?

    Data System allows this option in exceptional circumstances. The customer may carry out the installation themselves only after obtaining consent from Data System and after completing a paid training course on the installation of GPS trackers offered by Data System. The training takes place at the company's head office and concludes with the issue of a certificate confirming the qualifications gained.

    Can the contract be terminated if Data System fails to meet the agreed installation or service deadlines?

    The customer is required to schedule an installation or service appointment within 14 days of signing the contract or reporting a fault. In the case of self-install devices, once the customer has received the device they decide for themselves when to install it and when to have it serviced.

    Once the rental contract ends, does the device become the customer's property?

    Under a rental contract, the device never becomes the customer's property. The device remains the property of Data System and is merely rented to the customer. Once the contract ends, the customer is required to have the device removed at an authorised workshop or by a Data System installer and to return the rented device. In the case of self-install devices on rental, the customer is likewise required to uninstall them and return them to the Data System head office.

    What is the warranty period for GPS trackers offered by Data System?

    Devices offered by Data System are covered by a 12-month warranty, with the exception of batteries and rechargeable batteries, which carry a 3-month warranty. The warranty does not cover damage caused by the customer.

    Does the warranty also cover the installation service?

    Data System provides a 12-month warranty on GPS tracker installation services.

    Is there any risk of losing the vehicle manufacturer's warranty after a GPS tracker is installed?

    Data System trackers meet all required standards and hold the relevant certifications, so installing one in your vehicle does not void the manufacturer's warranty. Installing a tracker can be compared to fitting a car radio. No manufacturer prohibits the fitting of a radio, nor does any make warranty validity conditional on whether it is installed at an authorised service centre or elsewhere.

    What guarantee does Data System provide for the confidentiality of stored data?

    Data is encrypted using an individual key. Information flows through infrastructure that is isolated from the public internet, hosted on the GSM operator's side (Private APN). Once the data reaches our servers, it is written to encrypted databases. The connection to the web browser is also encrypted. Connection security is guaranteed by the Data System certificate, which is displayed when logging in to the application. The greatest risk is the customer losing the lo

    Why is the Data System invoice paid one month in advance?

    The services offered by Data System are, in essence, not much different from those of GSM operators, which are also paid for one month in advance.

    Why does the same vehicle appear three times on the VAT invoice?

    This situation arises in two cases: when the customer receives the first subscription invoice for a given device, or when it is the first subscription invoice after a contract renewal for that device. In such cases, the customer must pay the subscription for the previous, current and following month, as charges for that period had not previously been included.

    How can outstanding payments be settled in order to regain access to the mapping application as quickly as possible?

    Data System does not completely block access to the application if a customer fails to pay. In such cases, data is refreshed once an hour. Full functionality of the customer's account will be restored once the payment has been booked. To speed up this process, the customer can send proof of payment to: faktury@datasystem.pl, although requests of this type are only handled on working days during office hours.

    Can I receive electronic invoices for Data System services?

    Data System allows and even recommends sending invoices in electronic form. If a customer would like to receive e-invoices, simply notify us by email at: faktury@dataystem.pl

    Is it possible to reduce the roaming subscription by setting a data transfer limit?

    Data System does not offer such an option. What is more, it is a rather unsafe and inconvenient solution for the customer. There is a risk that the customer will urgently need information about the vehicle's current location, but because the limit has been reached the vehicle will stop transmitting data. We offer roaming charges based on flat-rate fees that are added to the monthly invoices, or, for trackers offered without subscription fees, roaming can be purchased by paying from g

    What does installing a GPS tracker involve?

    The way a tracker is installed varies depending on the device model. With traditional transmitters, installation involves connecting to the vehicle's power supply and to the ignition switch, from which information about whether the engine is running is obtained. The tracker may be equipped with a module for reading data from the vehicle's on-board computer (the so-called CAN bus). In that case, in addition to being connected to the power supply and the ignition switch, the tracker is wired into the CAN bus, from which it pulls a wide range of data directly from the vehicle's computer

    How long does it take to install a GPS tracker?

    Installing a tracker can take anywhere from 10 minutes to 4 hours. The installation time depends on the scope of the work, the type of tracker and the type of vehicle in which it is being fitted. In passenger cars, installation may take longer because there is little room to install the tracker correctly, and a fair amount of trim usually has to be removed from the vehicle.     When a tracker is purchased for self-installation, the device can be installed straight after the parcel containing the transmitter has been delivered.     Data System does not offer installations on Sundays. It is possible to arrange an installation on a Saturday; however, the waiting time for such an appointment may be considerably longer than for installations on weekdays, and an additional fee applies in accordance with our price list.

    Can the GPS tracker be installed at a workshop other than the one recommended by Data System?

    The customer decides which partner workshop they wish to use. If, however, the service location is too far away and the customer recommends a workshop in a different place, then, following verification and a positive recommendation from the Installation Department, Data System may grant permission to fit the device at an unauthorised workshop. In the event of work being carried out incorrectly, or any subsequent problems arising from improperly performed service, Data System bears no

    How long does it take to install a fuel sensor?

    Fitting a fuel probe takes approximately 1.5 hours, and its calibration depends on the tank size, taking around 10 minutes per 100 litres of fuel. Data System fitters are equipped with specialist tools that allow the fuel probe to be installed and calibrated on site.

    What is the procedure for arranging a GPS system installation?

    If the customer chooses to have the system installed at a location of their choice, the place and date of the installation are agreed with the customer during a telephone call with a Data System representative. Contact from Data System is usually made a few days after the contract is signed. If the customer decides to have the device fitted at a partner workshop, the GPS tracker is sent to the customer once the contract has been signed.     For self-install devices, the GPS tracker is connected to the battery terminals, plugged into the OBD port or into the cigarette lighter socket. For GPS trackers requiring professional installation, the fitter decides where to place the device at the time of the job in the specific vehicle. In passenger cars this is usually behind the instrument cluster or under the dashboard; in lorries the GPS tracker is normally fitted under the dashboard or in the vicinity of the fuse

    What is the waiting time for GPS tracker servicing?

    The waiting time for service is usually the same as the waiting time for installation and depends on whether the service is to take place at a location specified by the customer or whether the customer visits one of our partner workshops.

    What are the costs of service repairs for Data System devices?

    In the case of service repairs carried out after the warranty period, which is 12 months, or in the event that sabotage is detected (during servicing, the fitter will verify that a third party has caused damage to the GPS tracker installation, the GPS tracker itself or external components), the customer will be charged for the repair. Service costs include: the fitter's travel to the location specified by the customer, the fitter's labour, and the cost of any parts or mat

    Can a GPS tracker be jammed?

    Every GPS tracker can be jammed. Both the GPS and the GSM signal are subject to jamming. Both cases are detectable by the devices offered by Data System, which report any such incident.

    Can the GPS tracker be used with equipment other than a car?

    The GPS trackers offered by Data System have a very wide supply voltage range, which means that, with practically no additional converters, they can be fitted in vehicles such as: motorcycles (6 V installation), passenger cars, vans and motor boats (12 V installation), lorries (24 V installation), forklifts and trailers.

    How accurate is the mileage measured by the GPS trackers?

    The GPS system, by virtue of its design, has a measurement accuracy of approximately 10 metres. The GPS tracker reads the position once per second and uses this data to calculate the distance travelled by the vehicle. The accuracy of the distance calculated by our GPS trackers ranges from 3% to 5%. In 90% of cases it is 3% or less than 3%. Distance measurement accuracy can be affected by roads with many bends, city driving, as well as driving at very low speeds, e.g. 10 to 30 km/h. It is also worth noting that dis

    Is there a difference between the mileage measured by a GPS device and by CAN?

    Distance calculation from GPS devices carries a certain margin of error stemming from the GPS technology itself; however, it is an independent measurement, meaning the driver has very little influence on how it is counted. It is different with distance calculated from CAN. In that case, distance is taken directly from the vehicle's on-board computer and matches what the driver sees on the odometer — both in the mapping application and in the reports.     In the case of non-branded alarms fitted with an ultrasonic sensor, it often happens that the alarm is triggered while the vehicle is stationary at the moment the tracker transmits data. This is caused by the poor quality of the alarm system. In such cases, the customer is asked to give their consent to disable the ultrasonic sensors.     Will we receive accurate fuel consumption values after connecting the GPS tracker to the vehicle's on-board computer?

    Our trackers read data from the vehicle's on-board computer (the so-called CAN bus) in a wide range of vehicles, both passenger cars and lorries. We do not interfere with the data we read — it is exactly the same as at the moment it was captured, then passed to the application and displayed in the reports. The quality of the information depends solely on the quality of the measurements taken by the vehicle's on-board computer. If the vehicle 'lies', for example about fuel data, that is exactly what will be shown in the application.

    How accurate is the vehicle location measured by GPS trackers?

    Position accuracy is +/- 10 metres. This is determined by the capabilities and design of the GPS system. Measurement accuracy also depends on the number of satellites and the current signal strength.

    Which operating parameters are available once the device is connected to the vehicle's on-board computer (CAN)?

    A total of around 50 parameters can be read from the vehicle's on-board computer. However, it never happens that a single vehicle outputs all of them at once. The most common are data on fuel level, total fuel consumption, mileage and speed. In lorries, additional information is transmitted about driver working time, the driver card number inserted in the tachograph, and so on.

    How soon after the device is installed does the customer gain access to tracking their vehicles?

    The customer can view the tracked vehicle straight after installation. The day of installation is deemed to be the day the service commences. For this reason, the subscription is charged from the day of installation, except where Data System has unsuccessfully attempted to arrange an installation appointment with the customer, or where the customer, already in possession of the device, fails to have it installed within 30 days of signing the contract. In such situations, the subscription is activated automatically despite the device not being installed.

    How often is the vehicle position refreshed at home and abroad?

    The tracker's position is refreshed according to several algorithms. The refresh frequency also depends on whether the vehicle is travelling within Poland or abroad. A vehicle travelling within the country transmits its position every minute while driving and every 5 minutes while stationary. In addition, while driving, the vehicle transmits its position each time it takes a bend (with a curvature greater than 22 degrees).     Reports are generated for a period of up to three months back.

    How long is the GPS tracker archive kept?

    The customer can generate an archive covering up to three months back. An open-ended trip history is also available, from the moment the device was installed on a given vehicle.

    Why do all vehicles show the status 'no signal'?

    No signal means that the device has stopped transmitting due to a loss of GSM network coverage or GSM signal jamming. If the status persists for longer, the customer should submit a report to the technical department at the email address: pomoc.techniczna@datasystem.pl or contact Customer Service on: 61 62 63 000.

    Why has access to the archive and reports been restricted, and why does the vehicle position only refresh once an hour?

    This situation is caused by non-payment for services provided by Data System. After the payment due date has passed, a message appears in the mapping application informing the user that the payment deadline has passed and that the invoice issued by Data System should be settled as soon as possible. If no payment is received within 7 days of the due date, a new message appears informing the user that access to the application has been restricted.     If the customer remembers their account login, they can change the password themselves using the password reminder feature on the application login panel. A password reset link will be sent to the email address previously assigned to the account.
